What we collect
- Contact details you submit (name, work email, firm name) when booking a demo or contacting us.
- Technical data such as IP address, browser type, and pages viewed on our marketing site.
- If you use the Proven product: files and case materials you upload, job metadata, and account credentials for your workspace.
How we use information
- To schedule and deliver demos and support.
- To operate the Proven product (process uploads into IME briefs and related outputs).
- To improve the site and product, and to secure our systems.
- To run advertising measurement (for example Meta Pixel) where configured, so we can understand campaign performance.
Product data and Australia
Proven is built for Australian medico legal workflows. Source files, page images, exports and job records associated with product processing are handled in Australia and deleted on a short retention schedule enforced in the product (including 24 hour deletion after upload where that rule applies to your workspace).
Legal basis and privacy law
We handle personal information in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles, and we enter data processing terms with customers where required.
Sharing
We do not sell personal information. We use service providers that help us host the site, send email, schedule meetings (for example Calendly), process payments if applicable, and measure ads. They only receive what is needed to perform those services.
Marketing site cookies and ads
Our marketing site may use cookies or similar technologies, including from Meta, to measure ads and improve the site. You can control cookies through your browser settings. Ad platforms may receive technical identifiers as described in their policies.
Security
We use administrative and technical safeguards appropriate to the sensitivity of medico legal material, including access controls and encryption in transit. No method of transmission is perfectly secure.
Retention
Marketing enquiries are kept as long as needed to respond and maintain a business relationship. Product job data follows the product retention rules described above unless a customer contract says otherwise.
Your rights
You may request access to or correction of personal information we hold about you, or raise a privacy complaint, by emailing contact@santostech.com.au. You may also contact the Office of the Australian Information Commissioner (OAIC).
Children
Our site and product are directed at professional users, not children.
Changes
We may update this policy. The “Last updated” date at the top will change when we do.
